Recording System, Mailbox, and RAD Greetings
(Embedded Voice Mail)

Overview

Greetings are recorded by accessing the Administrator's Mailbox from any internal telephone. Access to the mailbox requires a passcode.

NOTE: If you download a system or RAD greeting while someone is recording the same greeting from a phone, the recorded greeting is replaced by the uploaded greeting after all voice mail ports become idle.

Programming

Recording System Greetings

To record system greetings:

  1. Access the System Administrator's mailbox.

  2. Press [4] for the System Greetings menu.

  3. Select the desired greeting set:

  4. for the Primary Greeting set, press [1]

  5. for Alternate Greeting sets 2 to 8, press [2], [3], [4], [5], [6], [7] or [8]

  6. for Alternate Greeting set 9 (if Voice Mail Hospitality/PMS is disabled) OR the Guest Login greeting (if Voice Mail Hospitality/PMS is enabled), press [9]

  1. Select the desired greeting type (does not apply to Guest Login greeting):

  2. for the Business Open greeting, press [1]

  3. for the Business Closed greeting, press [2]

  4. for the Temporary greeting, press [3]

  5. for the Bilingual Welcome greeting (if the system is bilingual), press [4]

  1. If you are recording a temporary greeting, enter the number of days you want the greeting to play, as a 2-digit number between 01 and 99. If you enter 00, the temporary greeting is canceled.

    NOTE: The transition from the temporary greeting back to the open/closed greetings occurs at midnight irrespective of the VM Business Hours Settings ( ). Thus, if the temporary greeting is set for one day anytime before midnight, it will only play until midnight. If set for two days, then it will play until midnight of the following day and so on.

  1. If you have a bilingual system, select the language of the greeting (this does not apply to the Bilingual Welcome greeting):

  2. for the default language, press [1]

  3. for the alternate language, press [2]

  1. Record the greeting, speaking clearly into a handset. Do not use handsfree to record a greeting.

You can use the following example as a guide:

"Thank you for calling ABC Industries. If you know the number of the person you are calling, enter it now. For a company directory, press 9. For assistance, press 0 or hold for the operator. To repeat this menu's options, press 3."

NOTE: The maximum greeting length is three minutes.

  2. After recording, select one of the following options:

Recording Mailbox Greetings

To record mailbox greetings:

  1. Access the mailbox.

  2. Press [8] for User Options.

  3. Press [4] for permanent greeting or [8] for temporary greeting.

  4. To record permanent greeting:

  5. For mailboxes other than MLAA Menu Node type: record your greeting after the tone; press any key to end the recording.

  6. For MLAA Menu Node mailboxes: Press [1] for Business Open greeting, [2] for Business Closed greeting, or [3] for temporary greeting.

  1. If you are recording a temporary greeting, enter the number of days you want the greeting to play (01 to 99). If the greeting is for the current day only, press [1]. To cancel the temporary greeting, press 0.

Recording RAD Greetings

To record RAD greetings:

  1. Access the System Administrator's mailbox.

  2. Press [8] for the Recorded Announcements menu.

  3. Press [1] to record a greeting.

  4. Select the number of the RAD greeting to record (001-200).

If the selected RAD greeting already exists, you will hear it along with prompts to [1] accept, [2] review or [3] re-record it.

  1. Record the greeting, speaking clearly into a handset. Do not use handsfree to record a greeting.

  2. Follow the voice prompts to record each additional greeting.
